Groups

Groups organise workflows into named collections, making it easier for users to find relevant workflows — especially in tenants with a large number of workflows. Groups created here appear directly in the VXL Live add-in, where each workflow in a group is available, so users can load, enrich, add, update and delete data without switching between workflows. See VXL Live — Groups.

The groups list

ColumnDescription
NameThe group's display name
WorkflowsNumber of workflows in the group
RolesNumber of roles with access to this group
ActionsEdit or delete the group

Access control

What a user sees depends on their permissions:

User typeWhat they see
Admin usersAll groups and all workflows within them
Regular usersOnly groups and workflows they have been explicitly granted access to

A group is not visible in VXL Live to any user who has no access to any workflow within it.

Permission levels

When assigning roles to a group, three access levels are available:

LevelWhat it allows
ReadView the group and its workflows — cannot run
WriteView and run workflows in the group
Full AccessView, run, and manage the group and its workflows

Creating a group

  1. Go to Administration → Workflow Management → Groups.
  2. Click + New Group.
  3. Fill in the required fields:
FieldDescription
NameDisplay name shown to users in VXL Live
WorkflowsOne or more workflows to include in this group
RolesRoles that will have access to this group, with their permission level
  1. Click Save.

The group is immediately visible in VXL Live to users whose roles have been granted access.

tip

Create groups that reflect how users think about their work — by team, process, or business area — rather than how the workflows are technically structured. A user in Logistics should be able to find their workflows without knowing how the system is organised.
