Workflows
Workflows in Vince Platform let you automate business processes by connecting a series of components — each handling a specific function such as reading M3 data, filtering records, generating Excel files, or sending notifications.
Go to Workflows in the top navigation to access your workflow list.
The workflows list
Each row in the workflow list shows:
| Column | Description |
|---|---|
| Name | The display name of the workflow |
| Components | Icons indicating which component types are used (M3, Excel, Mail, Filter, etc.) |
| Last Run | When the workflow was last executed |
| Created / Modified by | Initials of the user who created or last modified the workflow |
| Actions | The ⋮ menu for workflow-specific actions |
Only workflows you have permission to read are shown in the list.
Read-only mode
Choose Open read-only from the ⋮ menu to look at a workflow without any risk of changing it. If you can view a workflow but not edit it, it always opens this way, and the workflow name in the builder is marked (Read-only). You can open every step to see its configuration, but nothing can be changed or saved. Select and copy any value, or use Copy configuration to copy the whole step configuration.
Search and filter
- Search — type in the search box (Search by name or ID...) to find workflows by name or by workflow ID.
- Components — a multi-select filter listing every component type except Trigger. A workflow is shown only if it contains all the selected component types (AND logic). For example, selecting Excel and Mail lists only workflows that use both.
Workflow Monitoring
The Workflow Monitoring button (also at Administration → Workflow Management → Workflow Monitoring) opens a page for tracking failed executions across your workflows. See Workflow Monitoring.
Actions menu (⋮)
| Action | What it does |
|---|---|
| Open read-only | Opens the workflow in read-only mode — see Read-only mode |
| Run | Executes the workflow immediately |
| Edit | Opens the workflow builder |
| Execution Logs | Shows the history of past executions |
| Add to Favorites | Pins the workflow for quick access |
| Copy | Duplicates the workflow |
| Delete | Permanently removes the workflow |

Best practices
- Use clear, descriptive names so workflows are easy to identify in the list.
- Apply Labels to group workflows by project, module, or team.
- Check Execution Logs regularly — silent failures can go unnoticed until they affect downstream processes.
- Delete or disable test workflows that are no longer needed to keep the list manageable.
