Users
The Users tab lists all accounts in the tenant and lets administrators add new users, edit existing ones, and deactivate accounts that are no longer needed.
The users list
| Column | Description |
|---|---|
| Full Name | The user's display name |
| Login email address | |
| Permissions | Whether the account is an Admin or a standard User |
| M3 User Id | The user's ID in Infor M3, if one is set |
| Sign-in method | How the user signs in: Single sign-on (shows the provider name, for example Microsoft) or Manual (signs in with email and password). Sortable |
| Active | Whether the account can currently sign in |
| Last Active | When the user last authenticated |
| Roles | Number of roles currently assigned to this user |
User types
| Type | Access level |
|---|---|
| Admin | Full system access — can manage all settings and users |
| User | Access is controlled entirely by assigned roles — no access is granted by default without at least one role |
Creating a user
- Click + New User.
- Fill in the required fields:
| Field | Description |
|---|---|
| First Name | User's given name |
| Last Name | User's family name |
| Login address — must be unique in the tenant | |
| Phone Number | Optional contact number |
| Address | Optional address information |
- Click Save.
An automated email with login credentials and a temporary password is sent to the new user's email address immediately.
Assign the user to at least one role before notifying them. Without a role, a standard user has no access to any part of the platform.
Editing and deactivating users
Click the ⋮ menu next to a user to Edit their details or Deactivate the account.
Deactivating a user prevents them from signing in without permanently deleting the account or its audit history. Reactivate the account at any time by editing it and toggling the active status back on.
Tags
Tags are user-specific identifiers that let workflows personalise their behaviour based on who is running them. Each tag has two parts:
| Part | Description |
|---|---|
| Tag Key | A descriptive name for the tag — for example, warehouse or region |
| Tag Value | The string value assigned to this specific user — for example, OSLO or NO |
How tags are used
Tags are referenced in workflow components using the Tag source on input fields. When a workflow runs, Vince Platform substitutes the tag value for the user who triggered it — so the same workflow can behave differently for users in different warehouses or regions without requiring separate workflows or manual input.
In expressions and {{ }} placeholders, read a tag through $context.user.tags, for example $context.user.tags.warehouse[0] in a Transform. A tag's value is usually stored as a one-item list, so how you write it differs between the two. See Tags in the $context Reference.
Adding tags to a user
- Open the user's record via the ⋮ → Edit menu.
- In the Tags section, click Add Tag.
- Enter a Tag Name (pick an existing tag from the suggestions or type a new one) and a Value.
- Confirm the row, repeat for additional tags, then click Save.
Multiple tags can be added to a single user. A tag name can only be used once per user.
Setting a tag for many users at once
To give the same tag to several users in one go:
- On the Users tab, click Set tag for users (shown only if you can edit users).
- In Tag name, pick an existing tag or type a new one.
- Select the users, using Search users… and Select all to speed it up. Show selected lets you review your choice.
- Enter a value on each user's row, or type one in Value for visible users… and click Apply to fill it in for everyone shown.
- Click the button at the bottom. It shows how many users will be changed.
Other tags the users already have are kept. If some users fail, the dialog tells you and keeps them in the list so you can retry.
