Schedule Trigger

The schedule trigger runs a workflow automatically at a defined time or interval — no user interaction required. Use it for recurring processes such as nightly data syncs, weekly report generation, or hourly data refreshes.

Set it up

caution

Nobody is present when a scheduled workflow runs. An input field whose source is From Client makes the run fail, because there is no user to supply the value. Use Constant instead, or one of the other sources listed under Input field sources.

  1. Open the Trigger step and choose the schedule trigger.
  2. Choose a Frequency. The options you then see depend on the frequency.
  3. Optionally set a Start date / time and End date / time, and the Timezone.
  4. Check the plain-language description and the Next Runs panel, then save.
SettingDescription
FrequencyYearly: annual archiving or reporting. Monthly: month-end exports or reconciliations. Weekly: weekly summary reports. Daily: nightly data syncs. Hourly: frequent data refreshes. Every Minute: high-frequency monitoring or alerts
Start date / timeWhen the schedule becomes active
End date / timeWhen the schedule stops (optional)
TimezoneSet automatically based on the tenant, or configured manually

Below the frequency settings, the trigger describes your schedule in plain words (for example "At 08:00 AM, only on Monday"), and the Next Runs panel lists the next six times the workflow will run, in the selected timezone. To reset the schedule, click Clear Selection. It removes the start and end dates and sets the timezone back to automatic.

Example

Refresh a report every weekday at 08:00.

  1. Set Frequency to Weekly, select Monday to Friday, and set the time to 08:00.
  2. Check that Next Runs lists weekdays only, at 08:00 in your timezone.
  3. Save the workflow.

Input field sources for scheduled workflows

Any input field that would normally be user-supplied must use a non-interactive source.

Current DateAutomatically inserts today's date at runtime
TagA tenant-level variable resolved at runtime
ExcelA value read from a mapped Excel cell
From APIA value from a previous component's output
