In-App Roles
In-App Roles let you control visibility and capabilities within a specific app based on who is running it. Use them when different types of users need to see different data or perform different actions in the same app — for example, an internal team seeing all suppliers while external suppliers see only their own records.
In-App Roles control what users see inside a published app. They are separate from Vince Platform roles, which control whether a user can access App Builder at all. See Security & Roles for platform-level role management.
How In-App Roles work
You define roles during development in the App Builder editor, then attach each role to one or more Vince Platform roles or individual users. When the app runs, it applies the role-specific logic to each user automatically.
In-App Roles do not grant App Builder access themselves — a user must still have at least Run permission on their Vince Platform role to open the app.
Configuring In-App Roles
- Open the app in the editor.
- Go to the Roles section of the editor.
- Create a new role and give it a name that reflects its purpose (e.g.
supplier, approver, internal). - Attach Vince Platform roles or specific users to the In-App Role.
- In your prompts, specify what each role should see or be able to do — for example: "Users with the
approverrole should see an Approve button. Users with thesupplierrole should see only their own purchase orders." - Save and test with accounts that have the relevant roles assigned.
Example: supplier portal
An app built for both internal staff and external suppliers might define two In-App Roles:
| In-App Role | Sees | Can do |
|---|---|---|
internal | All suppliers and all orders | View, filter, export |
supplier | Only their own purchase orders | View, submit responses |
The same app serves both audiences — the role logic filters what each user sees without requiring two separate apps.
Test In-App Roles before publishing by signing in with accounts that represent each role. Role-based filtering is easy to verify in preview but harder to fix after an app is live.
