Running Workflows

Once you have found the workflow you need — using search, the All tab, or Favorites — open it to see its inputs and run it.

Selecting a workflow

Browse or search to the workflow you want, then click it to open it. You see the workflow name and description, any input fields the workflow creator has set up, and the Run button. Click the workflow name to fold the inputs away or show them again.

Icons next to the name give you more:

IconWhat it does
Excel iconAdds the workflow's design file (a ready-made template) to your workbook; see Design files
Book iconOpens the workflow's user instructions; see User instructions
Red warning iconThe workflow has a configuration error and cannot run until it is fixed in Vince Platform

Choosing an environment

Workflows that work with Infor M3 run against an environment, such as TEST or PROD. The current environment is shown at the bottom left of VXL Live: a coloured dot and the environment's short name. Hover over it to see the full name.

To change it, click the environment and pick another one from the list. The list shows only the environments that are linked to the workflow and that you have access to. When you open a workflow, VXL Live selects the workflow's first linked environment for you, or the first one you have access to.

The Run button takes the colour of the selected environment, so you can see at a glance where you are about to run.

note

If you have access to an environment but not to its connection, the Run button is disabled for that environment. Pick another environment or ask your administrator for access.

Workflows that do not work with M3, such as a workflow that calls a REST API, have no environment to choose.

Filling in the inputs

  • Fields marked as required must be filled in before the workflow runs. Some fields already hold a default value set by the workflow creator.
  • Date fields open a calendar when clicked. The date is shown in the date format from your profile.
  • Greyed-out fields are filled in for you from your user account (a tag, for example your warehouse). You cannot change them.
  • Filters: some workflows have a Filters section. Fill in a value to narrow the result, or tick the checkbox next to a filter field to ignore it for this run.
  • Lookup icon: a field with a lookup icon lets you pick a value from a list instead of typing it; see below.

If you click Run with a required field empty or an invalid value, a red box lists what to fix.

Pick a value with a lookup

  1. Click the lookup icon next to the field. A window opens with the lookup's name and the workflow that provides the list.
  2. Fill in the search fields, if any, and click Run to load the list.
  3. Use the Search box above the list to narrow it further.
  4. Click a row. The values from that row are filled into the fields of your workflow.

See Lookup Workflows for how lookups are set up.

Running the workflow

  1. Select the environment.
  2. Fill in any required input fields.
  3. For a workflow that reads from your sheet, open the sheet with your data. VXL Live reads the sheet that is open; see How VXL Live Reads Your Sheet.
  4. Click Run (the button label may be customised by the workflow creator).

While the workflow runs, the button shows Running. The Run button is disabled when the workflow is inactive or has a configuration error.

Reading the result

When the run is finished, a result box appears below the Run button:

ResultMeaning
Success (green)Every row was processed without errors
Warning (orange)Some rows succeeded and some failed
Error (red)Every row failed, or the workflow could not run at all

For workflows that process rows, the box also shows how many rows were Executed, how many had Success and how many Failed. When the workflow writes messages back to the sheet, check the message column of each failed row to see why it failed.

Click Logs in the result box to open the full log of this run in Vince Platform. Close the box with the ×.

For messages from VXL Live itself, such as problems reading or writing the sheet, open the Logs panel at the bottom of VXL Live; see Logs.
